Payment and cancellation policies applicable to tour providers

This policy is applicable to all countries EXCEPT: Cuba, Iran, Iraq, Lebanon, Myanmar, North Korea, Somalia, Venezuela, Zimbabwe

What you need to know

The following are the methods available for Payment on tourHQ:

  1. Bank transfer - In this tourHQ takes the through credit card and remits your tour fee to your bank account.
  2. Cash- In this the traveler pays all or a portion of the tour fee directly to you in cash on arrival
  3. Bank Transfer or Cash: In this the traveler decides his preferred mode of payment

There are 3 cancellation policies available:

  1. Flexible
  2. Moderate
  3. Strict

You can choose a combination of cancellation and payment policies to be applicable to your bookings. They are described in greater detail below:

Flexible Cancellation Policy (The default setting)

In case of cash payment-

Booking Process for Traveller

The traveller makes the booking by paying an initial 20% deposit via credit card to tourHQ. The balance is paid in cash to you on arrival. Therefore your earnings, ie 80% of the tour cost, are paid to you fully in cash by the traveller when you meet in person.

In case of Cancellation:

If the traveller cancels the tour at any time, they will forfeit the initial 20% deposit paid. You will not receive any compensation for the cancelled booking or no show.

In case of card payment -

The traveller makes the booking by paying the entire tour price upfront via credit card to tourHQ.

tourHQ will remit your tour fees, that is 80% of the tour price to you via bank transfer after the tour is complete

In case of Cancellation:

If the traveller cancels the tour upto 2 days before the tour, they will forfeit the initial 20% deposit paid, and receive a refund for the balance. You will not receive any compensation for the cancelled booking. If the traveller cancels less than 2 days before arrival or is a no show, tourHQ will remit your tour fees, that is, 80% of the tour price to you via bank transfer after the scheduled tour date.

Moderate Cancellation Policy

In case of cash payment -

The traveller makes the booking by paying an initial 50% deposit via credit card to tourHQ. The balance 50% is paid in cash to you on arrival. Additionally, tourHQ will remit 30% of the tour cost to you via bank transfer after the tour is complete. Therefore, you will receive your tour fees, that is 80% of the tour price 30% via bank transfer and 50% via cash payment.

In case of Cancellation:

If the traveller cancels the tour at any time or is a no show, they will forfeit the initial 50% deposit paid. You will receive 30% of the tour price as compensation via bank transfer.

In case of card payment -

The traveller makes the booking by paying the entire tour price upfront via credit card to tourHQ.

tourHQ will remit your tour fees, ie 80% of the tour price to you via bank transfer after the tour is complete.

In case of Cancellation:

If the traveller cancels the tour upto 2 days before the tour, they will forfeit 50% of the tour cost. You will receive 30% of the tour cost as compensation for the cancelled booking via bank transfer. If the traveller cancels less than 2 days before arrival or is a no show, tourHQ will remit your tour fees, ie 80% of the tour price to you via bank transfer after the scheduled tour date.

Selecting Cash or Bank (Default Setting)

In Flexible and Moderate cancellation policies, you also have the option to allow the traveller to decide whether he would like to make the entire payment upfront or only a portion.

Strict Cancellation Policy

(Cash payment is not possible)

What you need to consider

While you may choose to keep a stricter cancellation policy as a default, please remember that the travellers may prefer a more flexible policy. You will need to consider the kind of tours you provide, and what type of security you need.

You can also choose to let the traveller decide whether to pay entire tour price in card or pay only in card and balance in cash. Or you can turn off cash payments or card payments for your account.

While some of the travelers may prefer cash payment, please remember that your interests in the case of no-show are more protected in the case of card payment. You may need to consider each situation, depending on whether you are also bearing any costs in terms of non-cancellable arrangements while you are selecting your cancellation and payment policies.

We expect that the strict cancellation policy would be rarely used and will be applicable for complex tours that involve a variety of hotels, flights and other such arrangements which require the security of having the entire tour price paid upfront. Cash payment option is not possible for tours with Strict Cancellation policy.

We have integrated with different banking providers in different countries. It is possible that multiple banking partners will be enabled for your country. We recommend that you set up all partners that are available. We will always attempt to pick those partner for a particular payment where your fees will be minimumized.

tourHQ will bear the credit card charges. However, any FX conversion fees and payout charges will be automatically deducted from your payout.

Please note that Hyperwallet typically charges 3% conversion fees in case you convert your balance into another currency.

Depending on the arrangement with the banking partners, there may be nominal fees associated with payouts, depending on currency and method of payout. This payout fee can range from USD 1.5 to USD 15 per payout. Please ask your relationship manager about the applicable fee in your region.

Note: Please keep track of the latest Covid-19 related policies, that may supersede the policies described above. In case you charge or quote in any of the below currencies, then the equivalent USD will be paid into your hyperwallet account. When you set up your account, you will see what currencies you can payout to your bank account in. In many countries, you can pay out to your bank account only in local currency- however tourHQ can fund you only in USD irrespective of the currency you quoted in. You will be charged an FX conversion fee when you convert the USD to the local currency for payout. Please factor that into your prices.
